Playbook: stock reserved for an order nobody has open

The situation

The warehouse counts 180 PCB mainboards. Planning sees 168 available. Twelve are "reserved" — but no open production order or transfer holds them. Somewhere an order was closed by a path that never released its reservation, and since then those twelve boards have been on the shelf, counted, and invisible to everything that needs them.

The screenshots come from the Otiox demo workspace. To follow along, choose Switch to demo in the sidebar — changes there never touch your live data.

Step 1 — Stock that doesn't add up

Go to Materials and find PCB Mainboard Rev3.

Materials: 180 in stock, 12 reserved, 168 available
Materials: 180 in stock, 12 reserved, 168 available

180 in stock, 12 reserved, 168 available. Nothing on this screen says who reserved the twelve.

Step 2 — Open the finding

Go to Inventory → Stock Integrity and open Reserved material with no owner for PCB Mainboard Rev3.

The finding: stock reserved 12, order reserved 0, transfer reserved 0
The finding: stock reserved 12, order reserved 0, transfer reserved 0

The Integrity Engine compared the reservation with every open manufacturing order and transfer: stock reserved 12, order reserved 0, transfer reserved 0. About $222 is tied up. Under Possible causes: an order was closed by a path that did not release its reservation, or a reservation was written to stock directly.

Step 3 — Release the reservation

Choose Release the reservation under Fix.

Confirmation before the fix runs: validated, ready to apply

Otiox validates the action and asks for confirmation. Only the unowned quantity is released — reservations held by real orders are not touched.

Step 4 — Back to the shelf

After Run, open Materials again.

Materials after the fix: 0 reserved, 180 available
Materials after the fix: 0 reserved, 180 available

Reserved 0, available 180. In the demo, Li-Ion Battery 3000mAh had the same problem with 20 units and was released the same way. On the next scan the findings close by themselves.

The boards are still short for open orders (free stock −4,875) — that is a different problem with its own finding. This fix makes sure the number you plan from is the real one.

What you have at the end

  • Every reservation without an owner, found automatically.
  • Reserved versus owned, side by side, with the value tied up.
  • Orphans released with a validated, confirmed fix.
  • Available stock that matches the shelf.
