Playbook: production finished, the books never heard about it

The situation

It is close week. The floor completed four manufacturing orders over the last six weeks — the goods are on the shelf. But the completion postings that move their cost from work in progress to finished goods never reached the ledger. Finished goods are understated by $6,735 and WIP is overstated by the same amount.

Nobody did anything wrong on the day. A posting batch failed, or an order was completed before completion postings were switched on. This playbook finds every such order and fixes it at the source.

The screenshots come from the Otiox demo workspace. To follow along, choose Switch to demo in the sidebar — changes there never touch your live data.

Step 1 — See every completed order without a posting

Go to Inventory → Stock Integrity. The Integrity Engine lists its open findings; the ones titled Completed MO never posted are the orders this playbook is about.

Integrity findings: completed manufacturing orders that never reached the ledger

In the demo there are four: MO-2026-0003 ($1,065) and three older orders ($1,800, $1,890 and $1,980).

Step 2 — Open the finding

Open MO-PRED-DRIFT-1.

The finding: quantity produced, completion cost, possible causes, what to do and the fix
The finding: quantity produced, completion cost, possible causes, what to do and the fix

The finding shows the product, the quantity produced (10), the completion cost ($1,800) and the estimated financial impact. Under Possible causes: the completion posting batch failed, or the order was completed before completion postings existed. What to do says it plainly: post the completion to finished goods.

Step 3 — Post the completion

Choose Post the completion under Fix.

Confirmation before the fix runs: validated, ready to apply

Otiox validates the action first and asks for confirmation — nothing is posted until you choose Run.

Step 4 — Check the ledger

Open Finance → Transaction Ledger.

The ledger: MO Completed events for $1,800 and $1,065, from WIP to finished goods
The ledger: MO Completed events for $1,800 and $1,065, from WIP to finished goods

The completion is there as an MO Completed event, from WIP to finished goods, locked. In the demo, MO-2026-0003 was posted the same way a minute earlier. The findings for both orders are now resolved; the other two are next.

Run Stock Integrity before every close. A completed order without a posting is invisible in reports — and obvious in the findings list.

What you have at the end

  • Every completed order without a posting, found automatically.
  • The gap in money, order by order.
  • Real completion postings in the ledger instead of manual journal entries.
  • Findings that close themselves once the posting exists.
